Calendar sync does two things: it pulls busy blocks from your external calendar into Qliva so patients can't book over them, and it pushes your Qliva appointments back to your external calendar so you see everything in one place.


How It Works

External → Qliva Busy events from your external calendar appear as yellow highlights on your Qliva availability calendar. Patients cannot book those slots. This covers personal appointments, meetings, or anything else you've blocked in your external calendar.

Qliva → External When a new appointment is booked in Qliva, it's pushed to your external calendar with the patient's name, appointment type, duration, and telehealth link (if applicable).

Connecting Your Calendar

Go to Admin Portal → Settings → Calendar Sync → Add Calendar, choose your provider, and complete the authorisation.

Each practitioner can connect one or more calendars. If you connect multiple, busy blocks from all of them are merged — so a busy event on any connected calendar blocks that time in Qliva.


Colour Coding

Each connected calendar is assigned a colour in Qliva. Busy blocks on your Qliva calendar are colour-coded by their source calendar, so you can tell at a glance which platform a block is coming from.


Sync Frequency

The calendar sync runs automatically every 15 minutes in the background. For an immediate update, go to Settings → Calendar Sync → Sync Now.

If you've just added or rescheduled something in your external calendar and need Qliva to reflect it right away, use Sync Now rather than waiting for the next automatic run.


Pushing Existing Appointments

When you first connect a calendar, you can optionally push all existing upcoming Qliva appointments to your external calendar. This gives you a complete view from day one rather than only seeing future bookings.


Deduplication

Qliva tracks which appointments have already been pushed to your external calendar. This prevents a Qliva appointment from being re-imported as a busy block — which would make it appear twice and could block additional booking slots.


Disconnecting

Go to Settings → Calendar Sync and click disconnect next to the calendar you want to remove. Events that have already been pushed to your external calendar are not deleted — they stay in your external calendar as-is.

Note: Calendar sync only shares busy/free time and appointment details (name, type, duration, telehealth link). It does not push patient demographics, clinical notes, invoice information, or any other sensitive data to your external calendar.
Tip: If a patient reports they can't find an available slot that you know should be open, check whether a busy block from your external calendar is covering it. Use the Sync Now button to force a refresh and see if the block clears.
