Clinic Setup

This page walks you through signup and the onboarding wizard, and explains how to update your clinic's branding after setup.

Signup

Your clinic's name and subdomain are chosen at signup, before the onboarding wizard even starts. For example, choosing the subdomain your-clinic-name gives you your-clinic-name.qliva.com.au — the URL your patients will use to access the booking page and patient portal.

Warning:

Your subdomain cannot be changed after signup without contacting Qliva support. Take your time and choose carefully — this is the address you'll share with patients.

Onboarding wizard

After signup, the onboarding wizard launches automatically. It has four steps: Details, Branding, Business Hours, and Invite Practitioner. You can skip most steps and come back later.

Step 1 — Details

Enter your clinic's operating details:

  • Phone number
  • Address
  • ABN (optional)
  • Timezone

You're also asked whether your account is a Practice Administrator (manages the clinic, doesn't see patients) or a Practitioner + Admin (also sees patients and prescribes). If you choose Practitioner + Admin, this same step asks for your own:

  • AHPRA number
  • PBS prescriber number
  • Medicare provider number
Note:

If you're setting up Qliva on behalf of a clinic owner who will be the practitioner, choose Practice Administrator here and have them complete their own practitioner profile from their account instead.

Step 2 — Branding

Upload your clinic's logo (PNG, JPG, or SVG, up to 2MB) and set a primary and accent colour. This step can be skipped and completed later from Settings.

Step 3 — Business Hours

Set your clinic's opening hours for each day of the week. Toggle a day off to mark it closed.

Step 4 — Invite Practitioner

Optionally send an invitation to your first practitioner (name, email, and practitioner type). You can skip this and invite practitioners later from Admin Portal → Team.

Warning:

Set your timezone correctly during Step 1 — it affects all appointment display times, when appointment reminders are sent, and when automated communication triggers fire. An incorrect timezone can cause a "24 hours before" reminder to arrive a day early or late.

Editing your details after setup

There is currently no post-setup edit screen for your clinic's phone number, address, ABN, or timezone — these are set once during the onboarding wizard and are not editable from the Admin Portal afterwards. If you need to correct any of these, contact Qliva support.

Your subdomain cannot be self-edited after setup. Contact Qliva support if you genuinely need to change it.

Branding

Go to Admin Portal → Settings → Branding to configure your clinic's full visual identity:

  • Clinic Display Name — how your clinic is labelled across the portals
  • Tagline — a short line shown alongside your clinic name
  • Font — any Google Font
  • Sidebar, Background, and Accent colours — three independently configurable colours (not a single "brand colour") with a live preview as you edit
  • Custom Domain — point your own domain at Qliva via a CNAME record
  • Logo — supports PNG, JPG, or SVG
Note:

Your clinic's logo, display name, and accent colour are also shown on the patient portal login page, so patients see your clinic's branding before they even log in.

Treatment Plan Document Style

A separate section on the same Branding page lets you configure the look of AI-generated GP treatment plan PDFs — cover style, fonts, colours, logo placement, and footer — independently of your main portal branding.

Post-setup checklist

Once the wizard is done, work through these steps to get your clinic ready to see patients:

  1. Create appointment types — Admin Portal → Settings → Appointment Types → Add
  2. Invite practitioners — Admin Portal → Team → Invite Practitioner
  3. Configure appointment reminder schedules — Admin Portal → Settings → Reminders
  4. Set up at least one communication trigger — Admin Portal → Communications → Triggers
  5. Configure Tyro (if using in-clinic EFTPOS, HICAPS, or payment links) — Admin Portal → Settings → Tyro. Stripe online payments are provisioned platform-wide and need no setup.
  6. Optionally connect: Medical Objects (pathology messaging), Xero (accounting), Parchment (compounding pharmacy)
