Clinic Setup
This page walks you through the onboarding wizard and explains how to update your clinic's core details, branding, and subdomain after setup.
Onboarding wizard
When you log in to Qliva for the first time, the onboarding wizard launches automatically. It takes about five minutes to complete. You can pause and come back — your progress is saved.
The wizard has five steps:
Step 1 — Clinic details
Enter your clinic's basic information:
- Clinic name
- Street address
- Phone number
- Email address (public-facing, used in patient emails)
- ABN
Step 2 — Practitioner profile
Fill in your own practitioner details:
- First and last name
- AHPRA number
- Prescriber number (required to issue prescriptions)
- Provider number (required for Medicare billing via Tyro)
If you're setting up Qliva on behalf of a clinic owner, enter your own details here — or skip and ask the clinic owner to complete this step from their own account.
Step 3 — Subdomain selection
Choose your clinic's address on Qliva. This is the URL your patients will use to access the booking page and patient portal.
For example: your-clinic-name.qliva.com.au
Your subdomain cannot be changed after setup without contacting Qliva support. Take your time and choose carefully — this is the address you'll share with patients.
Good subdomain format: lowercase letters, numbers, and hyphens only. No spaces or special characters.
Step 4 — Logo upload
Upload your clinic's logo. This appears on:
- Patient-facing emails
- The public booking page
- The patient portal header
Logo guidelines:

A horizontal or landscape logo works best. Square logos may appear cropped on some screens.
Step 5 — Timezone
Set your clinic's local timezone. This affects:
- All appointment display times
- When appointment reminders are sent
- When automated communication triggers fire
- Cron-based scheduled jobs
If your timezone is incorrect, appointment reminders will fire at the wrong time — for example, a "24 hours before" reminder could arrive a day early or late. Set this carefully before you book any appointments.
Branding colours
After the wizard, you can set a primary brand colour. This colour is used in:
- Patient-facing email templates
- Buttons and accents in the patient portal
- The booking page
Go to Admin Portal → Settings → Branding to update this.
Editing your details after setup

Your subdomain cannot be self-edited after setup. Contact Qliva support if you genuinely need to change it.
Post-setup checklist
Once the wizard is done, work through these steps to get your clinic ready to see patients:
- Create appointment types — Admin Portal → Appointment Types → Add
- Invite practitioners — Admin Portal → Team → Invite Practitioner
- Configure appointment reminder schedules — Admin Portal → Settings → Reminders
- Set up at least one communication trigger — Admin Portal → Communications → Triggers
- Connect a payment method — Admin Portal → Settings → Integrations (Stripe and/or Tyro)
- Optionally connect: Medical Objects (pathology messaging), Xero (accounting), Parchment (compounding pharmacy)
